1. Who is responsible for your data

ADB TECHNOLOGY FZCO is the controller of the account and billing data described here.

For the audio, transcripts and results that customers upload and create, the customer (the workspace) is the controller and ADB acts as its processor, under the Data Processing Agreement. If your voice is in a recording a customer uploaded, contact that customer first; we will help them answer you.

2. Data we collect

Account data: your name if you give it, email address, workspace name, role, and sign-in records. Billing data: billing contact, purchases and invoices; card details are collected and held by Stripe, not by us.

Usage data: jobs, their length, cost and status, API key use, and the security and audit log of who did what in a workspace (for example exports, deletions and sign-ins), with the request's IP address.

3. Audio and transcripts you upload

Recordings, the transcripts and translations made from them, and the results of features such as summaries, entities, sentiment, redaction and speaker labels. These can contain personal data about the people speaking. We process them only to provide the service to the workspace that uploaded them.

4. How we use data

To provide and secure the service: run jobs, show results, keep accounts safe, prevent abuse, and keep the audit log.

To bill: record usage, charge the right amount and keep accounting records.

To support and improve the service: answer requests and fix problems. We do not use customer audio or transcripts to train or improve models unless the customer agrees in writing, and we do not sell personal data or use it for advertising.

Where data protection law asks for a legal basis, we rely on: performing our contract with you (running your account and jobs); our legitimate interests in securing and improving the service and preventing fraud, balanced against your rights; compliance with legal obligations (for example keeping accounting records); and your consent where we ask for it, which you can withdraw at any time.

6. Sharing and sub-processors

We share data only with the companies that help us run the service, listed with what each does on the sub-processors page, and only as far as each needs. We may also disclose data where the law requires it, and will tell the affected customer unless the law forbids that.

7. International transfers

On the managed cloud, data is hosted with Amazon Web Services and speech recognition runs on RunPod GPU servers, which may be in a different country from you. Where the law requires safeguards for such transfers, we use them, such as standard contractual clauses. Customers who need data to stay in their country can use a sovereign licence, which runs ADB Voices inside their own infrastructure.

8. How long we keep data

Audio: for the number of days the workspace chooses in Settings (7 days unless changed), then deleted automatically. Transcripts and results: until the workspace deletes them, or for the period it sets, or until the workspace is erased.

Account and audit records: while the account exists and for a limited time afterwards for security. Billing and ledger records: for as long as accounting and tax law requires, with recording content removed. Backups are overwritten on a rolling schedule.

9. Security

Data is encrypted in transit and at rest. API keys are stored only as salted hashes, connector credentials are encrypted, workspaces are isolated from one another, access is limited to staff who need it, and every access, export and deletion in a workspace is recorded in its audit log. No system is perfectly secure; if a breach affects your data we will tell you without undue delay.

10. Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal data, to object to or restrict some processing, and to complain to a data protection authority.

Workspace admins can export everything a workspace holds and erase it from the console. For anything else, write to hello@adbtech.ai; we will answer within one month and may need to confirm who you are.

11. Children

ADB Voices is for organisations and is not directed at children under 16. We do not knowingly create accounts for them. Customers who process recordings of children must have the consent and safeguards the law requires.

12. Changes to this policy

When we change this policy materially, we will tell workspace admins by email and update the date and version here before the change takes effect.
